Sending a video project and sharing a confidential document are different jobs. Both need a reliable download link, but a contract, financial statement, or identity document may also need encryption that keeps its contents private from the service provider.

End-to-end encryption changes that relationship: the sender’s device encrypts the content and the recipient’s device decrypts it, without giving the provider the decryption keys.

This is useful when the file should remain confidential from the transfer provider itself. It does not protect against every threat. Compromised devices, malicious browser extensions, and exposed sharing links can still undermine privacy.

Access controls

Encryption protects contents; access controls determine who can retrieve them and under what conditions. Look for password protection, recipient verification, expiration, opening limits, and revocation that match your workflow.

Send a transfer password through a different channel from the link. Email verification demonstrates control of an inbox, rather than proving a person’s legal identity. Neither protection prevents an authorized recipient from keeping a copy.

Practical limits

Check the maximum size of an individual file and the total allowed in one transfer. Monthly transfer allowances, storage quotas, and download windows also matter. A service that suits confidential PDFs may not suit a 40 GB video project.

1. PrivateNote: confidential documents and controlled access

Its appeal is a generous transfer allowance without adopting a cloud-storage subscription. If your requirement includes keeping files unreadable to the provider, examine the encryption and key-management model separately. Large transfer limits and password protection do not, by themselves, establish end-to-end encryption.

3. Proton Drive: encrypted storage with sharing

5. Smash: large creative files

What expiration and limited openings actually protect

A temporary link reduces the time during which someone can retrieve the hosted content. Opening limits also restrict repeated access through the sharing link. These controls help reduce exposure from forgotten links in old messages.

They cannot recall information already revealed. A recipient may download a file, capture the screen, or otherwise retain its contents. View-only interfaces cannot guarantee that copying is impossible.

Use expiration and opening limits to control future access to the hosted copy. Choose recipients with the understanding that they may retain what you share.

How to send an encrypted file with PrivateNote
